Job Description

An employer in South Asheville is looking for an experienced Senior Administrative Coordinator to join their team and support a high producing division director.

Position Summary
Responsible for a variety of administrative and support duties requiring solid knowledge of office routine and a strong understanding of the organization, programs, and procedures related to work of SMC, the Asheville benefits operations and the member relations team. Maintains a close and highly responsive relationship to the day-to-day activities of the Sr. VP of Benefits Operations and VP of Member Relations. Assists with coordinating the SMC strategic plan, recurring reporting, and budget activities. Promotes positive member relations and presents a professional image of the Association to visitors, members and the general public.

Duties & Responsibilities

Compiles content for recurring reports regarding benefit operations service standards and member relations weekly reports from interactions with members and benefit plan participants. Coordinates with all areas of the benefit operations and member relations team to produce board reports and Trust Committee materials ahead of regularly scheduled meetings over the course of the year. Proofreads and edits materials for conformance with established standards.

Monitors member relations teams visit reports and extracts relevant data for use in the CEO reports, Trust Committee reports, and United Healthcare reports. Tracks and compiles member relations team mileage for transmission to payroll quarterly. Monitors member relations travel to track compensatory travel time. Develops and monitors other reports for the member relations team as needed.

Monitors progress on strategic plan objectives and strategies. Maintains the benefits operations Master Work Plan and ensures key deadlines are met. Coordinates feedback from the annual SMC strategic planning process and works with Sr. VP of Benefits Operations to update the plan annually. Assists department staff through tracking projects, ensuring deadlines are met.

Monitors the budgets for the executive and member relations areas and processes invoices and expenses. Tracks expenses to budget, including preparation of monthly variance reports, and alerts manager of problems or deviations. Coordinates travel arrangements as needed.

Coordinates logistics for all member relations team meetings including notifying participants of meeting dates and places, preparing agendas, assembling, and distributing meeting materials and ensuring documentation of meetings is maintained in an accurate and timely manner. Processes all invoices and expenses associated with member relations meetings.

Provides assistance and support for special projects for the member relations team.

Provides administrative support to other department administrative coordinators and Arlington staff as needed.

This is a fast paced and deadline driven position. High level of attention to detail, accuracy, commitment and customer service is necessary in order to be successful.

Pay $55K-$60K DOE
