SUMMARY

The Impact Assistant (IA) coordinates the workflow of the Impact Team by providing administrative support to one or several members of our impact team. The IA will have to utilize a unique skill set based on the team's job functions, personality, and communication style. Dogwood has a positive, diverse, and supportive culture and the IA is another strong contributor to our growing administrative team and culture.

ROLE

Daily Team Support
  • Balance conflicting priorities in order to manage workflow, ensure the completion of essential projects, and meet critical deadlines.
  • Schedule calls, meetings and manage inbound requests.
  • Ensure that the team’s time is leveraged effectively, including engaging the right participants in and out of meetings and problem solving with stakeholders in advance to maximize their time with the appropriate executives.
  • Compose and respond to correspondence and edit the work of others.
  • Read and analyze incoming memos, submissions, and other correspondence, redistributing them as needed.
  • Maintain organized files and sort and distribute mail daily.
  • Arrange travel and track, organize, and submit expense reports.
  • Uphold a strict level of confidentiality.

Research & Analysis
  • Gather and continually update your knowledge of the health-related needs and equity efforts in the community and non-profit ecosystem related to Dogwood’s core strategic areas.
  • Support impact staff in research activities, as requested, by providing data collection, literature reviews, identification of key trends and patterns, and creation of graphic displays utilizing appropriate technology to illustrate key findings.

Internal Partnerships
  • Work closely with other Impact Assistants (IAs) and Executive Assistants (EAs) across the organization to continually improve and streamline processes.
  • Partner closely with the IAs and EAs within the organization for meeting coordination and internal communications.
  • Manage calendars - solving complex scheduling situations in a collaborative and team-oriented manner with other IAs and EAs on the team.

Meetings & Events
  • Plan events, conferences, retreats, and other team meetings.
  • Research data to prepare documents and agenda for review and presentation to board members, staff, and other key stakeholders.
  • Reserve meeting rooms and spaces, coordinate room and A/V setup, and arrange catering.
  • Attend meetings to take notes and distribute materials.

COMPETENCIES, ATTRIBUTES & EXPERIENCE

Education/Certification
  • A high school diploma, with four years of administrative experience, or:
  • A bachelor’s degree, with two years of administrative experience.

Work Experience & Competencies
  • Prior work experience related to at least one of Dogwood’s four strategic areas of focus is preferred by not required.

  • Attention to detail and solid organizational skills.
  • Ability to meet tight deadlines and manage multiple critical requests while navigating changing priorities.

  • Professional level verbal and written communication skills.
  • Proficiency with multiple software packages, including MS Office.
  • A willingness/ability to adapt to upgrades and system changes.
  • Strong customer-orientation and collaboration skills required.
  • Able to take part in occasional meetings and events outside of core business hours.
  • A deep caring for the people and places of Western North Carolina.
  • An authentic connection and passion for to Dogwood’s purpose and values.
  • An ease in cultivating relationships and working effectively and respectfully across politically, ideologically, culturally, and geographically diverse people and communities.
  • An ability to not to take oneself too seriously and to build strong respectful partnerships with their colleagues inside the Dogwood.
